The Executive Secretary to the Corporate Office will provide high-level administrative and governance support in a well-organized and timely manner to the Board Secretary/Global Head HR. Supporting the operational functioning of the Equiti Board & sub-committees the Executive Secretary will work in a diligent & confidential manner through the organization, documentation preparation and follow up of all matters stemming from the running of these Committees. Additionally, the role will include the organization & governance to support other Management Committees and forums.


  • Back up to the Board Secretary in all matters Board related
  • Management of all notifications of Sitting dates to Board Members
  • The precise creation and timely distribution of all matters requiring Board or Sub-Board meetings
  • The safe and correct recording of all minutes & papers flowing to/from all mandated Committees
  • Follows up on action points outstanding/requiring re-submission from/to the Board &/or Sub-Committees.
  • The creation and maintenance of an up-to-date board planning calendar outlining matters to be on the board’s agenda over the course of a year
  • Manages and coordinates direct office services, such as records, technology, personnel and housekeeping in order to aid executives
  • The management of external correspondence and ensuring that requests made of the board of directors is reported and responded to in a timely manner
  • Liaising with relevant parties on board governance issues
  • Research topics as & when required, with presentations &/or reports flowing from
  • Support the Global Organization on Corporate Governance matters
  • Support to the close teams of HR & Administration

Skills and Competencies:

  • Excellent attention to detail with the ability to work to tight deadlines
  • Advanced experience in Microsoft Office, including Word, Advance Excel and PowerPoint
  • Excellent on Presentation preparation
  • Good numerical skills
  • A high degree of discretion and confidentiality
  • Ability to build relationships with key stakeholders and shareholders
  • Strong organisational, planning and coordinating skills
  • Strong written and verbal communication skills in English is required (Arabic is desirable)
  • Ability to work in a fast-paced team environment 
  • Strong interpersonal skills
  • Flexible outlook and a “can do” attitude, able to cope with unexpected and varied demands
  • Positive attitude and high performer

Educational / Experience Requirements:

  • 5 – 7 years’ experience working within a similar role
  • Experience and exposure to working within a structured environment
  • Appreciation of Corporate Governance matters is desirable
  • GCC experience required
  • Ability to write and speak in Arabic is desirable
